Delivering accreditation operations across multiple locations simultaneously


Who are they?

Cricket West Indies (CWI) is a governing body comprising of the six cricket associations of Barbados, Guyana, Jamaica, the Leeward Islands, Trinidad and Tobago and the Windward Islands.

In total, it covers 15 member states and dependencies. CWI represents all associations in the Men’s, Women’s, and U19 international competitions.


The requirements

CWI needed a system to manage accreditation for stakeholders across multiple regions. The previous accreditation operation was required to be duplicated in each region. This resulted in a very labour driven approach, which was very time consuming and relied heavily on resources.

Additionally, with each CWI staff member holding multiple operational functions, the previous accreditation process pulled them away from their responsibilities in other areas placing increased strain on their ability to complete their work.


Our approach

Accredit Solutions’ approach was to streamline the entire end-toend accreditation process for CWI by providing more responsibility to stakeholders, including the Cricket Associations to able them to manage their accreditation through the Accredit platform.

To achieve this, Accredit Solutions implemented Accredit Pro to CWI. Accredit Pro allowed CWI and their stakeholders to use the Accredit platform to register to operational roles by submitting data and supporting documentation in the system. Stakeholders were trained and user guides were provided enabling them to use a range of functionality within the system to capture, review, and manage data for all international matches taking place in the West Indies.

Enabling stakeholders to manage their own data made the process timeefficient and allowed CWI to focus on reviewing applications and manage access privileges where required. This process was managed through the system’s user permissions. Only CWI had the authority to approve or reject applications event by event. CWI could view all data in the system, where stakeholders could only view their own data to maintain data protection.

An important factor in implementing Accredit Pro was the ability for the accreditation pass to be produced through the Accredit platform. CWI were able to use their existing in-house printers alongside the system to produce the passes.

As the Accredit platform is web-based, CWI were able to utilise functionality in the system to enable stakeholders to print accreditation passes locally in their region. This removed the logistical requirement for CWI to have the passes printed centrally and delivered to each region in advance of an event. Provided applications were approved by CWI, stakeholders could print in any region on demand and in real-time saving cost, staff resource, and time.

The results

CWI now have a centralised accreditation system where they can review all applications in the system. Regional Cricket Associations can also use the system to manage their data, allowing CWI to focus solely on the review and authorisation for submitted applications.

CWI have control over the data required to submit an application, what events individuals can be registered to, and what roles are available for accreditation. Using the in-built matrix, they are also defining what access privileges are assigned to each operational role.

Another success is CWI can now remotely control and authorise what data is approved for printing enabling them and the Cricket Associations to print their own accreditation locally. This removed the logistical requirement to print accreditation passes centrally and deliver in mass to multiple regions.

As the system is web-based, CWI and their Cricket Associations can access the accreditation system from anywhere in the world. CWI can now provide access to multiple staff members to access the system and manage where required. This ensures the accreditation process can continue to function as it is no longer reliant on a single point of contact.
